Personal Information Collection Statement
We collect your WhatsApp number, and your email if you give one, for one purpose only: to tell you when the iPhone app opens and to send the free tools you ask for. We never sell or share it, we never give it to an employer or an agency, and you can ask us to delete it at any time by writing to privacy@kaia.help. Giving us your details is voluntary; without a WhatsApp number we can't tell you when the iPhone app opens.

What we collect
- On the waitlist: your WhatsApp number, and your email if you choose to give it.
- On this website: nothing else. The calculators run on your phone and send nothing.
- In the app: your record, as described in the Data Promise. Our Data Promise
- In a group: the posts, comments, plans and hearts you write there, so the friends in that group can read them. Only its members can.
- If you give it: the date you first started working in Hong Kong, to count your Hong Kong anniversary. Only you can see it.
- If you report something: your report, to stop harm (see Reports).
How we use it
Only to tell you when the iPhone app opens, to send the free tools you ask for, and to run your record in the app. Never for advertising, never sold, never given to an employer or an agency.
Reports
Anyone can report something another person wrote. The person reported is never told who reported them.
- A report about something in a group goes to that group’s admins, who can remove it. They are not told who sent it.
- If you tick “Also tell Kaia” (for abuse, a threat, or anything illegal), or if what you report is outside a group (a vouch, the household notebook, a savings circle), it is also emailed to our support inbox. The email carries what was reported and your note, never your name.
How long we keep it
We keep your waitlist details until 12 months after the iPhone app opens, then delete them — or sooner, the day you ask us to.
In the app, your data is kept while your account is open. When you delete your account, your record, your files, your waitlist entry and everything you wrote in groups are deleted at once, the same day. Only what is also part of someone else’s record stays — an employer’s own confirmation of a payment he made, for example — with your name removed from it. Our database provider keeps backups for a short period before they are overwritten.
Group posts, comments and plans stay until the person who wrote them, or a group admin, removes them. A removed post is hidden from everyone at once but kept, so that a report about a threat can still be acted on. The groups you ran pass to their longest-standing member. Report emails are deleted from our inbox within 12 months.
Where it is stored
Data is stored with our database provider in Singapore (Supabase, AWS ap-southeast-1). Emails are sent through Resend.
Cookies
One cookie, kaia_locale, remembers the language you chose. Nothing else.
Your rights
You may ask to see or correct your personal data, or to have it deleted, at any time. We reply within 40 days, as the Personal Data (Privacy) Ordinance requires.
